A quality management system is an organized set of business procedures aimed at improving their satisfaction and consistently meeting client demands. It is usually aligned with the organizational purpose and managerial direction of an organization. A quality management system includes three key elements such as quality control, improvement, and improvement programs.

Quality control is the process or method by which the goals and requirements of an individual or a group are determined and implemented in all phases of the product or service life cycle. Quality control is the most comprehensive aspect of a quality management system because it includes the whole life cycle of the project, from design to production, through sales to finished goods. Quality control incorporates all the functions of quality management. It aims to achieve the objectives of the project.

Quality management systems also include improvement programs. These programs improve processes, products, and services of an organization and its customers. Improvement programs aim at meeting the organizational objectives and reducing costs. An effective quality management system should be able to provide inputs into the activities that affect the organization, whether these activities are internal or external and what these activities are intended to achieve.

Quality management systems usually include four elements. The first element is planning. This planning is performed during the entire life cycle of the product or service. Quality plans are made for all aspects of the product and all stages of its development including design conception, concept creation, technology implementation, product testing, and supply chain management. Quality plans can be formal plans drawn up by departments such as human resources or by the management itself depending on the needs of the organization. Quality plans for large organizations include a quality plan for each department that is responsible for a specific aspect of the organization.

Another important element of a quality management system is the data management plan. This is usually done by the quality assurance office. It consists of policies and procedures for managing the accumulation, storing, accessing, analyzing, and sharing of data related to the quality objectives of the organization. The policies may stipulate the accessibility of data to other departments or the public. The data management plan may also define the steps that organizations must take when required to make their data available to other parties.

There are several processes that need to be implemented in order to make a quality management system work. The implementation process varies from organization to organization. These processes include process documentation, quality assessment of processes, establishment of a standard operating procedure, the formulation of quality control policies and procedures, application of quality management principles to enhance quality control, and the use of monitoring devices to ensure compliance with the policies.
